Administrative Coordinator – Architectural Design Co - Norfolk – Pay to $60K

 

A dynamic, successful, and growing architectural design company in Norfolk is seeking an ADMINISTRATIVE COORDINATOR to join its corporate team.

The Administrative Coordinator will take charge of daily corporate office operations and assist with branch locations including calendar management, meeting and event coordination, reception including answering phones and greeting guests, maintaining office supplies, and tracking and reporting continuing education and licensing applications and renewals.

Duties & Responsibilities:

  • Coordinate calendars to schedule and confirm meetings
  • Ensure file organization based on office protocol
  • Answer multi-line phone system via Microsoft Teams
  • Receive/announce/seat all visitors
  • Type letters, transmittals, miscellaneous correspondence, and reports in Microsoft Word
  • Provide front desk support when needed which entails answering phones; shipping packages; scheduling conference rooms; making coffee; receiving, opening, and routing incoming packages; opening, routing incoming mail and faxes; and posting outgoing mail
  • Track of UPS/FedEx supplies and reorder as necessary
  • Order office supplies weekly or as needed
  • Coordinate with vendors and set up Lunch and Learns and firm-wide events
  • Ensure conference room, kitchen, and reception areas are neat and orderly
  • Coordinate and schedule interoffice meetings
  • Maintain professional license applications and renewals
  • Update all employee professional license renewals in database
  • Track all CEUs and report to each US state and Canadian provinces architect is registered
  • Maintain professional and corporate subscription and membership renewals
  • Multi-office setup requiring coordination between corporate and branch offices
  • Assist with coordinating summer intern accommodations
  • Provide ad hoc administrative support for corporate office and virtual support for growing branch offices

 

Qualifications and Education Requirements:

  • High School Diploma with 3+ years of varied administrative coordination experience
  • Exceptional customer service skills, strong initiative, positive and proactive, with commitment to excellence
  • Strong ability with Adobe Acrobat and Microsoft Office suite
  • Experience in the architectural or professional services industry preferred
  • Dynamic self-starter with excellent collaboration and communication skills at all levels
  • Strong organizational skills with ability to multi-task, prioritize to meet multiple deadlines, and produce high quality work product
